02 — What to include in an email

Helpful details for a first message

A short, specific message is more useful than a formal brief. The more of the following you can include, the more precise the first reply can be.

  • The problem

What is not working today, or what you want to be able to do that you currently cannot.

  • Current systems

Any software, hosting or data sources already in use that the work would touch.

  • Users

Who will use the result — internal staff, customers, other systems — and roughly how many.

  • Constraints

Deadlines, budget range, regulatory requirements or technology decisions already made.

  • Desired outcome

How you would recognise that the work has succeeded.

  • Contact preference

The address you would like replies sent to and any timing considerations.

03 — Response

What happens next

Enquiries are read and answered by email. A first reply usually restates the problem as we understand it, raises the questions that would change the shape of a solution, and sets out whether a defined scope, a continuous engagement or a short review would suit the situation best.

No sales sequence follows an enquiry. If the work is not a good fit, we say so directly.
